Career Administrative Assistant

We are a fast growing company located in Orange County. We currently have an opening for a full time administrative assistant. We are looking for an individual with basic computer skills, problem solving capability, detail oriented and strong communication skills. We will train a qualified person. Salary + Benefits

Responsibilities:

  • Answer, assist and direct all incoming telephone calls to appropriate parties in a professional and courteous manner
  • Research and resolve customer service and/or processing issues when required
  • Maintain quality and accuracy in a fast-paced, multi-tasking, detail oriented, deadline restricted environment
  • Handle a high volume of correspondence by telephone, email and fax
  • Perform related clerical work such as typing, filing, sorting mail distribution
  • Open and separate bills from other, put bills in order of due date and label with customer name and location
  • Prepare shipping labels and order deliveries
  • Process firm bills for approval/payment
  • Manage/order office supplies
  • Maintain project management calendar

Minimum Qualifications (Education, Experience, Skills)

  • High School Diploma (Associates preferred) or two or more years of office-related experience and/or training; or equivalent combination of education and experience
  • 2 years’ experience in payroll and customer service with high-volume data entry or similar working environment
  • Quick book experience
  • Excellent customer relationship skills
  • Advanced facility in MS Office, data entry and office equipment (i.e. telephone, head set, PC, FAX machine)
  • Analytical skills for real problem resolution
  • Adaptable to shift of priorities working under deadlines
  • Excellent organizational, planning, multitasking and prioritization skills
  • Demonstrate interpersonal skills and proficiency in business vocabulary to effectively represent the company to outside parties
  • Valid driver’s license
